Saturday July 19th and Sunday July 20th, 2025 Pinafore Park - 95 Elm St, St Thomas, ON N5R 1H7 Cost: $150 for 2 days (only option) Must provide proof of vendor insurance What you need to know about the Pinafore Park setup before moving forward with your application: 1. Sponsor and vendor sites will be on each side of the main path and mapped out in a grid in the section at the bottom of the map. Sponsors have the option of choosing their own site location. 2. Road vehicles are NOT allowed within the orange lines on the map below per the City of St. Thomas - the lawn and pathways were not built for vehicle traffic. In 2024 we had complaints from the Park because some vendors disobeyed this rule. There will be City fines for anyone who drives a vehicle into the park and they will no longer be able to attend the event as a vendor. 3. Golf carts are allowed for setup but cannot be driven during event hours (except by PAWS Committee) to ensure attendee safety 4. There will be at least 5 entrance gates to unload and load your site 5. Sponsors and vendors must cart their belongings into the park from the parking lots (left-blue icons) through the gates 6. Pinafore Park has a "no staking" policy unless approved by the city. This means you are not allowed to use stakes to hold your tent down/up. Please consider the use of sand bags or concrete blocks to secure your tent if needed. Don't sweat it! If you don't have "vendor insurance" you can easily get it from DUUO Canada. Check out "About Insurance" on our website. Legal Stuff: Neither Show Management nor any show contractor can be responsible for the loss or damage to any property of the Sponsor before, during or after the show, including theft. Our insurance policy does not extend coverage to the Exhibitors/ Vendors/ Sponsors - these categories need to provide their own liability insurance coverage with a minimum $2,000,000 limit during the period commencing on the first move-in date and terminating on the last move-out date. The policy shall protect us and insure you against all claims, demands, actions or proceedings for money, damages, costs, penalties and losses and all liability which may be imposed by law for loss of life, personal injury, or damage to or loss of property arising from or in any way connected with your presence or operations at the Show. You can arrange insurance through your own insurance company or check out our website for an alternative company called Duuo Canada. Once your application is approved, you will provide Pawsitively Elgin with your proof of general liability insurance within one week. *I agreeTerms and Conditions 1. All booths can be set up on Friday from 3:00 P.M. to 7:00 P.M and Saturday morning from 6:00 A.M until 9:00 A.M at the latest. Organizers and Hosts of Pawsitively Elgin will be on site to answer any questions. Tear down will commence at the end of the event on Sunday. 2. Site/booth fee includes provided space only. All Vendors are responsible for providing and setting up their own tables, chairs, canopies, and all other booth supplies. Canopies must be weighed down in case of windy or rainy conditions. 3. Vendors are responsible for keeping their site clean and any garbage collected at the space is the responsibility of the Vendor. Please provide a garbage can at your site if possible. 4. Vendors are responsible for always having at least one (1) representative at their booth during the event hours. 5. Parking is included in the general parking lot. 6. Vendors shall not be entitled to a refund of any fee should the Exhibitor for any reason be unable to exhibit at the Event or cancel any space previously contracted. 7. Only 2 animals will be permitted per booth/site. All animals must be in good health, and up to date on vaccines. All animals must be leashed, or contained within a secure, fenced area in the booth space. All animals must remain well hydrated throughout the day, and all waste must be disposed of appropriately. 8. Pawsitively Elgin shall NOT be held accountable or liable for any damage, loss, harm or injury to the person or any property of the Vendor or any of its officers, agents, employees, or other representatives, resulting from theft, fire, water, accident, or any other cause. 9. Pawsitively Elgin reserves the right to exercise its sole discretion in the acceptance or refusal of applications. 10. Pawsitively Elgin reserves the right to postpone or cancel the exhibition at its discretion. All monies will be refunded to Sponsors and Vendors. The option to participate in future exhibitions is at the discretion of the Sponsor/Exhibitor. 11. Under no circumstances are Vendors allowed to pack up their site and leave during the event. This puts our attendees at risk. If you have to leave, you can close down your site, leaving your booth and contents at the site until the event has ended. 12. Any situation not specifically covered in these guidelines will be resolved at the discretion of the Pawsitively Elgin Event Coordinator.I hereby affirm that I have read and understand all instructions and guidelines in this Pawsitively Elgin Exhibitor Application. I agree to observe and obey all posted rules and warnings and further agree to follow any oral instructions or directions given by Show Management, or the employees, representatives, or agents of Show Management. 2. I recognize that there are certain inherent risks associated with attending the above-described event and I assume full responsibility for personal injury to myself and (if applicable) my employees for injury and loss or damage for my present at this show whether caused by the fault of myself, my representatives or the other third parties. 3. I agree to indemnity and defend Event Management against all claims, causing of actions, damages, judgements, costs, or expenses, including attorney’s fees and other litigation costs, which may in any way arise from me or my representative’s negligence recklessness or willful actions at Pawsitively Elgin. 4. I accept all risks associated with the use of the site and environs. I shall not make any claim or demand or take legal action, whatsoever, against Show Management or Hosts, the Event Partner, Event contractors, or the Facility for any loss, damage or injury howsoever caused, to the Exhibitor, its officers, directors, employees, agents, or their property. 5. I agree to indemnify and hold harmless Show Management, Event Partner and the Facility, their respective officers, directors, agents, affiliates and employees, against all claims, costs and charges of every kind resulting from their occupancy of the Exhibitor Booth or its environs, for personal injuries, death, property damage or any other damage sustained by the Exhibitor or its officers, directors, agents, employees or those for whom in law they are responsible, or Show Management or a visitor to the Event. 6. I agree and acknowledge that I am not under so pressure or duress to sign this waiver and that I have been given a reasonable opportunity to review it before signing.
