Pawsitively Elgin Dog Festival 2026

Before completing your application, please note:

  1. Sponsor and vendor sites are arranged in a grid along both sides of the main path. Sponsors may choose their preferred site location and then vendors in order of complete application.
  2. No vehicles are allowed inside the fenced area per the City of St. Thomas. Violations may result in City fines and removal from future events.
  3. Golf carts may be used for setup only; no golf carts may operate during event hours (except PAWS Committee).
  4. There will be at least five gates available for loading and unloading.
  5. Sponsors must carry or cart their items from the parking lots through the gates.
  6. Pinafore Park has a no‑staking policy unless approved by the City. Use sandbags or concrete blocks to secure tents.

Site Numbers

Vendor sites will line both sides of the pathway, starting at the front gate and continuing down toward the stage. After the layout is finalized, PAWS will contact vendors who wish to select their own location and invite them to submit their top three preferred sites. Spaces will be assigned in the order that applications are fully completed (approved + site fee paid + and insurance received).

Note: Kid Entrepreneurs, rescues, and non‑profits will be grouped in a designated area near the lower end of the path by the second gate.

Insurance Requirements

All vendors, rescues, non-profits, and kid entrepreneurs are required to carry general liability insurance coverage for this event. The policy must list Pawsitively Elgin Dog Festival as an additional insured. A copy of your insurance certificate must be submitted to Pawsitively Elgin along with your payment upon acceptance of your application. Failure to provide proof of insurance will result in disqualification from participating in the event, and your registration fee will be forfeited. This insurance policy is intended to protect both you and the festival from any claims, demands, actions, damages, costs, penalties, losses, or liabilities arising from— or in any way connected to— your presence or activities at the event, including personal injury, loss of life, or damage to property.

All policies must carry a minimum coverage limit of $2,000,000 for the duration of the event.

Pawsitively Elgin – Waiver & Release of Liability

In exchange for participating as a Vendor at Pawsitively Elgin at Pinafore Park, and for the use of the property, facilities, and services provided by the Pawsitively Elgin Committee (“Show Management”), I agree to the following:
  1. Compliance with Rules I will follow all posted rules, warnings, and any instructions given by Show Management or its representatives.
  2. Assumption of Risk I understand that attending this event involves inherent risks. I accept full responsibility for any personal injury, loss, or damage to myself and (if applicable) my employees, whether caused by my own actions, my representatives, or third parties.
  3. Indemnification – Vendor Negligence I agree to indemnify and defend Show Management against any claims, damages, judgments, costs, or expenses (including legal fees) arising from negligence, recklessness, or willful actions by me or my representatives.
  4. No Claims Against Event Parties I assume all risks related to the event site and surroundings. I will not make any claim or take legal action against Show Management, Hosts, Event Partners, Event Contractors, or the Facility for any loss, damage, or injury to myself, my employees, my agents, or my property.
  5. Indemnification – Use of Booth Space I agree to indemnify and hold harmless Show Management, Event Partners, and the Facility—including their officers, directors, agents, affiliates, and employees—from all claims or damages arising from my booth’s use or occupancy. This includes injuries, death, property damage, or harm to myself, my staff, guests for whom I am responsible, or event visitors.
  6. Voluntary Agreement I acknowledge that I am signing this waiver voluntarily and without pressure. I have had reasonable time to review it and am free to seek independent legal advice if I choose.

Pawsitively Elgin – Vendor Terms & Conditions

  1. Set‑Up & Tear‑Down
    Booths may be set up on Friday (3:00 PM–7:00 PM) or Saturday (6:00 AM–9:00 AM). Event staff will be on-site to assist. Tear‑down begins only after the event ends.
  2. Booth Space
    The booth fee covers space only. Vendors must supply their own tables, chairs, canopies, and equipment. All canopies must be properly weighted.
  3. Cleanliness
    Vendors must keep their area clean and dispose of all garbage. Please provide a garbage bin if possible.
  4. Booth Staffing
    A minimum of one representative must be present at the booth during all event hours.
  5. Parking
    Parking is provided in the general parking lot.
  6. Refunds
    Fees are non‑refundable if the vendor cancels or cannot attend.
  7. Animals
    • Maximum 2 animals per booth
    • Animals must be healthy, vaccinated, leashed, or kept in a secure enclosure
    • Animals must have access to water
    • Waste must be cleaned and disposed of properly
    • Liability
      Pawsitively Elgin is not liable for any loss, damage, or injury to people, animals, or property from any cause (including theft, fire, water, or accidents).
    • Application Approval
      Pawsitively Elgin may accept or decline applications at its discretion.
    • Event Changes
      Pawsitively Elgin may postpone or cancel the event. If this occurs, all fees will be refunded. Participation in future events is at the organizer’s discretion.
    • Early Departure
      Vendors may not pack up or leave early. If departure is necessary, the booth must remain set up until the event ends.
    • Unspecified Situations
      Any issue not covered here will be resolved by the Event Coordinator.

I understand that I am not permitted to dismantle or remove my booth during event hours, as doing so may create safety risks for attendees. In the event of an emergency requiring my departure, I will notify Event Management and safely lower my tent, leaving all booth materials in place until the event has concluded.

I understand that the adoption or transfer of any animal to a new owner or foster caregiver is strictly prohibited during the event. No animal may leave the event grounds with any individual for the purpose of adoption or fostering. Any such action constitutes a violation of event policy and may be deemed negligent, resulting in immediate removal from the event and any applicable consequences as determined by Event Management.
